Using AI to Write Better Business Documents (Without Losing Your Voice)

AI writing tools are powerful, but they work best when you treat them as a collaborator, not a replacement. Here's how to get professional results while keeping your documents sounding like you.

Give it context

A vague prompt gives you a vague document. Before you generate, jot down the audience, the key points you want to cover, and the tone (formal, neutral, persuasive). The more context you provide, the less editing you'll do afterwards.

Use a template as a frame

AI fills a structure best when the structure already exists. Pick a template — say, the project proposal template — then let AI draft the content for each section. You get a complete, well-organised document instead of a wall of text.

Edit, don't accept

Always read the output. Tighten sentences, fix facts, and add the specifics only you know. A good rule: if you can't explain why a sentence is there, cut it.

Reformat in one click

Already have a document that just looks wrong? Editi's reformat feature applies a template's fonts, colours and layout to existing content — no rewriting needed.

Summarise long documents

Got a 20-page report and need a one-page summary? Ask AI to generate an executive summary from your existing sections, then insert it as a new section.

Keep your voice

The goal isn't to publish raw AI output. It's to start further along the track so you spend your time refining, not typing. The finished document should still sound like it came from you.
